Overview: Position is responsible for coordinating, staging and overseeing projects in the Volunteer Work Center; welcoming and checking in volunteers and groups; educating volunteers about food safety and the mission of Second Harvest.

Specific Responsibilities:

  • Preparation/Planning : Works with the Operations and Program & Partner Services to plan projects to be completed by volunteers in the Volunteer Work Center. Meets with the Volunteer Relations team weekly to schedule projects for volunteer groups and individuals. Prepares area for incoming volunteers including all products, pallets, boxes and other necessary supplies are readily available. Projects should be set up with volunteer safety and convenience in mind. Cleans and organizes the Volunteer Work Center before each volunteer shift.
  • Product Movement : Works closely with Operations staff to identify incoming product to be sorted or re-palletized including retail and salvage product. Communicates with Volunteer Relations team about project deadlines. Responsible for efficient product movement in and out of the Volunteer Work Center. Fulfills projects for various programs (CSFP Boxes, Backpacks, Pantry Boxes, Donated Food Inspections and Packaging, Produce Bags) before delivery date or deadline. Primary staff trained on forklift for weighing outgoing product and bringing product down from racks in Repack.

· Coordinating Volunteers : Supports the Volunteer Relations Specialist with orientations and food safety training as needed. Provides a list of projects or tasks for volunteers to complete daily. Completes tasks alongside and builds professional relationship with volunteers. Creates a positive and rewarding volunteer experience.

· Cleaning : Ensures the general cleanliness and safety in all areas of the Volunteer Work Center are maintained at all times in accordance with Feeding America, Good Manufacturing Practices, AIB, OSHA and Second Harvest standards. Weekly completion of housekeeping logs, tasks are completed and the logs for housekeeping are updated daily.

  • Product Inventory: Responsible for verifying that all orders from operations are correct prior to packing product in boxes or bags. Reviews, audits, and signs off on repack to warehouse completed pallets. Prepares Volunteer Work Center for Inventory Audits and Inspections.
  • Quality Control : Inspection of product, backpacks or boxes to ensure accuracy and food safety. Uses scale, when feasible, to verify correct content of products.

Administrative:

· Assist with Check-in/Welcome volunteers.

· Completes all appropriate paperwork accurately for each project or program.

· Sends out weekly Repack project schedule to appropriate departments.

· Accurately documents the weight, counts, and date packed for projects. These measurements will be reflected in the monthly volunteer relations reports.

· Audits and signs off on Repack to Warehouse form.

  • Assists with maintaining volunteer records in Cervis (volunteer database) including updated contact information and tracking hours.

· Assists with all volunteer relations activities including training and recognition events.

· Participates in weekly department meetings and all staff meetings.

  • Provides support to special events, special projects and fundraisers.

General Responsibilities:

· As needed, acts as the first point of contact for the main entrance demonstrating a professional demeanor. Greet visitors, determine nature of business and directs them to the appropriate staff.

· Communicates effectively with the team before and during each volunteer shift.

  • Upholds the values and mission of Second Harvest at all times.
  • Displays courtesy and respect at all times to Second Harvest employees, volunteers, board members, donors, partner charities and the general public.
  • Maintains confidentiality in all matters pertaining to Second Harvest.

Requirements:

  • Excellent interpersonal, planning and organizational skills
  • Proficient in Microsoft Office
  • Experience in public speaking
  • Ability to oversee and communicate effectively with diverse populations
  • Ability to lift 50 LBS and stand for long periods of time
  • Ability to work in partnership with other staff
  • Valid Driver’s License
  • Experience with pallet jack and forklift preferred, but not required

Education /Training: · Associate’s Degree or Equivalent Experience

  • BCI & FBI Check
  • ServSafe Food Safety (Will Train)
  • Certification in CPR/AED & First Aid (Will Train)
  • Food Program Civil Rights Training (Will Train)
