We are seeking an experienced Office Manager to join our Mattituck Bay location marina team! The Marina Office Manager plays a crucial role in ensuring the efficiency and success of marina operations while delivering a high standard of service to the boating community.

Position Summary :

The Marina Office Manager is responsible for overseeing the daily operations of the marina office, ensuring efficient administrative processes, exceptional customer service, and compliance with all relevant regulations. This role involves managing reservations, billing, customer inquiries, and coordinating marina services while supporting staff and maintaining a welcoming atmosphere for boaters and visitors.

 

Job Specific Duties:

Management & Staff Development

  1. Recruit, train, manage, and support office staff and summer dockhands, ensuring accountability and skill development.
  2. Collaborate with the General Manager on team oversight, process improvements, and operational procedures.
  3. Provide coaching and guidance to office staff, ensuring top performance and productivity.
  4. Conduct annual evaluations of direct reports and provide feedback to the General Manager on other team members.
  5. Foster a positive working relationship with staff, maintaining professionalism and strengthening team dynamics.

Client Relations & Customer Service

  1. Assist the office team with selling Boat Club memberships, rentals, and dockage, including quoting, contract management, renewals, and client communication.
  2. Ensure high levels of client satisfaction by actively listening, problem-solving, and reinforcing loyalty through exceptional service.
  3. Handle customer inquiries professionally, creating a lasting positive impression with enthusiastic and helpful communication.
  4. Demonstrate a strong command of Strong’s Marine customer service policies and product knowledge for effective assistance and training.
  5. Maintain a professional office and lobby space to welcome clients and visitors.

Operations & Financial Management

  1. Assist the General Manager with day-to-day operations, ensuring alignment with company culture, policies, and procedures.
  2. Oversee and support marina staff, dock attendants, and maintenance teams, ensuring smooth operations and completion of daily checklists.
  3. Communicate with the Service Manager and General Manager on key issues to ensure a seamless client experience.
  4. Manage accounts receivable for the STL/SMR location, reviewing financial reports and ensuring timely billing and collections. Work with the accounting and service teams to resolve outstanding accounts.
  5. Support service operations by assisting in workflow processes, work orders, parts, warranty management, and organizational needs.
  6. Handle billing, correspondence, mail processing, and payments from clients.
  7. Maintain accurate data within company computer systems, including customer and vessel records.

Event & Special Projects

  1. Assist the General Manager with event planning and execution, ensuring vibrant, safe, and enjoyable experiences for clients and employees.
  2. Support location evaluations and stabilization efforts by identifying operational improvements and strengthening internal organization.
  3. Assist with additional responsibilities as needed to ensure smooth marina operations.

 

Qualifications

Education & Experience:

  • College degree preferred.
  • 2+ years of related experience, preferably in office administration within a marina or hospitality environment.

  • Exceptional customer service and interpersonal communication skills.
  • Strong organizational, multitasking, and attention-to-detail abilities.
  • Excellent verbal and written communication skills.
  • Strong problem-solving and decision-making skills, with the ability to work in a fast-paced environment.

  • Responsible, accountable, and proactive in handling tasks.

  • Passion for the water and knowledge of boating and marina operations is a plus.
