**Position: Artist and Personal Assistant**
**About the Role:**
We are seeking a dedicated and versatile individual to join our team in midtown Manhattan. This full-time position offers a hybrid remote and in-office schedule, with a requirement to be in the office at least one day a week. As an Artist and Personal Assistant, you will provide administrative support to a group of talented artists and personal assistant services to one high-profile artist.
**Key Responsibilities:**
**Artist Administration:**
- Manage and update artist season calendars.
- Prepare, process, and track performance contracts and invoices.
- Monitor artists' payments and commissions.
- Assist with concert touring logistics, including itinerary creation, rehearsal coordination, travel arrangements, hotel bookings, and visa management.
- Keep our client management system up-to-date with financial and travel details, including personal preferences.
- Communicate travel arrangements and build relationships with presenters, local agents, and travel partners.
- Handle routine and non-routine inquiries via phone and email, including communication with artists, presenters, orchestra managers, and record labels worldwide.
- Maintain and update publicity materials, responding to publicity inquiries as needed.
- Create and design general correspondences, memos, and financial reports; track ticket sales with presenting organizations; update the company database (Overture).
- Work independently and as part of a team on special projects as requested by the Manager.
- Collaborate across the company to ensure artists receive seamless service.
- Be flexible and available to work outside standard office hours and travel within and outside the US occasionally.
**Personal Assistant:**
- Manage emails, coordinate diary, handle basic accounting, and oversee miscellaneous tasks at the artist's home.
- Ensure personal insurance policies are up to date.
- Arrange and manage personal appointments.
- Oversee and maintain home affairs.
- Demonstrate flexibility in managing time between the two roles, with responsibilities evolving as you settle into the position.
**Qualifications:**
- Exceptional interpersonal skills and the ability to handle sensitive and confidential situations.
- Discretion and sensitivity regarding personal information, with the judgment to meet the needs of a high-profile artist.
- Proven ability to work in a fast-paced environment, managing multiple tasks and demands.
- Strong communication skills, with the ability to interact professionally at all levels.
- Proficiency in various computer software applications, including Overture, Microsoft Word, Excel, PowerPoint, and Zoom.
- Attention to detail in composing and proofing materials, setting priorities, and meeting deadlines.
- Flexibility to handle emergency travel queries/incidents outside of regular hours.
**Education/Training/Experience:**
- BA Degree or equivalent experience.
- Minimum of 2 years' experience as an Assistant.
- Knowledge and passion for classical music.
**Compensation:**
This is a non-exempt position with a salary range of $50,000 - $55,000, commensurate with experience.
